General terms for renting outdoor equipment

Aulanko Outdoors follows the following general rental terms when renting outdoor equipment and gear.

These terms become binding on both parties when the customer makes a reservation.

Equipment Reservations and Payment

  • The customer is responsible for familiarizing themselves with the reservation terms. The terms are also provided to the customer on the rental form completed at the time of rental.
  • A reservation is binding regardless of whether it is made verbally, by telephone, email, or by other means.
  • If the total value of the rental is EUR 100 or more, the full reservation amount will be charged in advance unless otherwise agreed.
  • For reservations charged in advance, payment must be received by Aulanko Outdoors before the rental period begins.
  • If the rental value is less than EUR 100, the customer may also pay for the reserved products on site, unless otherwise agreed.
  • When making a reservation, the customer agrees to provide accurate contact information.
  • The customer must present a photo ID, passport, or driver’s licence when collecting the rental equipment.
  • Accepted payment methods are cash, card payments, payment links, ePassi, and gift cards. For bicycle rentals, cash is not accepted as a payment method.
  • The rental period is determined by the amount of time the equipment is unavailable for rental use. In connection with transportation services, the rental period is therefore generally determined according to the daily rate.

Cancellations and Changes

  • The cancellation time is the time at which Aulanko Outdoors receives notification of the cancellation.
  • The customer is responsible for ensuring that the cancellation is submitted sufficiently in advance.
  • Individual equipment reservations made by private customers can be cancelled free of charge no later than 24 hours before the reservation begins. Cancellations made less than 24 hours before the reservation, as well as no-shows, will be charged at 100% of the reserved services.
  • If a reservation remains unpaid, it will be transferred to debt collection if the customer fails to fulfil the payment obligation within the agreed payment period.
  • For groups, reservations involving five (5) or more pieces of equipment, or reservations exceeding EUR 200, cancellation is free of charge no later than 7 days before the reservation, unless otherwise agreed. Cancellations made less than 7 days before the reservation, as well as no-shows, will be charged at 100% of the reserved services.

Aulanko Outdoors’ Right to Cancel a Reservation

  • In the event of force majeure or if the customer’s safety is at risk (for example, due to weather conditions), Aulanko Outdoors may cancel the reservation. The customer who made the reservation will be notified without delay. Any reservation amount paid in advance will then be refunded to the customer in full.
  • Aulanko Outdoors will not reimburse any costs that the customer may have incurred as a result of a reservation being cancelled due to force majeure or a safety risk caused by weather conditions.

Use of Rental Equipment

  • The customer is responsible for listening to and understanding the instructions for using the equipment.
  • Equipment must only be used for its intended, normal purpose. Rental equipment may only be used at locations and under conditions appropriate to the user’s skill level and abilities. The customer uses all equipment and accessories entirely at their own risk.
  • Rental equipment may not be taken out of the country or sublet to another person.
  • The customer must return the equipment immediately at the end of the rental period to the agreed location and in the same condition in which it was provided. The renter must notify Aulanko Outdoors immediately of any delay in returning the equipment. Aulanko Outdoors has the right to charge additional rental fees for the excess time according to the current price list, unless otherwise agreed.
  • The customer is responsible for complying with transportation, safety, and other applicable regulations.
  • The customer must immediately report any defects in the equipment as soon as they are noticed.
  • Aulanko Outdoors does not undertake to deliver replacement equipment to the location of a breakdown, although it will, whenever possible, seek to do so if the cycling takes place in the Aulanko area.
  • Equipment and gear must not be left unattended. The customer is responsible for locking the equipment as necessary.

Compensation for Damage

  • The customer is fully liable for any damage and costs caused to the equipment during the rental period as a result of careless or improper handling. The customer is also required to compensate for equipment that is destroyed or lost during the rental period at its replacement cost.
  • The renter is also responsible for damage to the rental equipment caused by other persons during the reservation.
  • In the event of theft, the renter is fully responsible for the acquisition cost of equivalent replacement equipment. The renter will be released from liability if the rental company receives full compensation for the damage from an insurance company or from the party who caused the damage, where that party is someone other than the renter.
  • Aulanko Outdoors is not responsible for any inconvenience or costs the customer may incur due to natural conditions, such as animals, difficult trail conditions caused by thawing, or weather.
  • Aulanko Outdoors is not liable for any direct or indirect costs or damages that the renter may incur as a result of using or breaking the equipment, nor for any direct or indirect costs resulting from an interruption of the rental.

Other Terms

  • Any complaints or comments must always be submitted as soon as possible after the possible issue arises.
  • The prices shown on the Equipment Rental page include VAT (25.5%).
  • We reserve the right to make changes to prices and delivery terms.
